How Coles built a Learning Hub for 120,000 team members
Coles started with ClearXP as a Learning Hub on top of its enterprise LMS. Engagement climbed so sharply that Coles decommissioned the old system and made ClearXP its home for learning.
- 120,000 Team members
- 860+ Locations nationwide
- 200,000 Weekly learning activities
- 7× Non-mandatory course uptake
Coles Group is one of Australia’s largest and most recognisable retailers spanning Supermarkets, Coles Liquor and an extensive supply chain and logistics network, with more than 120,000 team members nationwide.
Delivering consistent, high-quality learning at that scale is essential, and the Coles Learning Hub, powered by ClearXP, became the central platform for digital and facilitator-led learning, reporting and analytics across the whole organisation.
The challenge
Serving a workforce this large and varied raised four hard problems:
- Diverse audience – delivering learning that’s accessible and relevant to everyone while keeping the whole business compliant at scale.
- Limited training windows – keeping training efficient for time-constrained employees across every division.
- High governance – meeting strict compliance, safety and operational standards across all divisions.
- Many stakeholders – producing accurate, tailored reporting for every level of the business, which was complex and time-consuming.
The Goal
Shift from isolated, one-off training to flexible programs backed by data-rich insights. Streamlining reporting, cutting admin effort and delivering diverse learning experiences across the entire business.
Why ClearXP
Coles needed a partner that could operate at its scale and prove the impact, not just supply software.

The approach
Coles consolidated all of its learning into one adaptive Learning Hub, then built out the tools to run it at scale.
Learning Platform
- A modern, adaptive and visually-engaging platform accessible across every Coles device including desktop, mobile, tablet and native app.
- One home for every content type — SCORM and xAPI modules, native ClearXP content, face-to-face workshops and content ingested from Coursera and LinkedIn Learning.

Personalised Learning
- Learners see assigned, recommended and self-registered learning in one intuitive interface, with quick access to transcripts, tasks, events and due dates.
- Social features for sharing and rating content drive engagement, while manager tools make it easy to assign and monitor team learning.
Content and Programs
- A content management system for building micro-courses, quizzes, surveys, structured programs and campaigns.
- Full support for learning pathways, micro-learning sequences and tailored program pages.
Manager Dashboards
- Visual, interactive dashboards giving managers at every level insight into team performance, with drill-down to area, location or individual assignment data.
Advanced Administration
- A comprehensive admin suite covering reporting, dashboards, workshop scheduling, assigned-learning management, certifications and renewals that gives full oversight of learning operations at scale.
Certifications and Workflows
- For a large workforce in highly regulated environments, ClearXP delivered a Certifications and Workflows framework that automates end-to-end compliance.
- Workflows automate certifications, renewals, expiries and reminders across the organisation while providing real-time visibility of compliance for program managers.

The results
Consolidating onto ClearXP transformed how Coles runs learning — slashing admin, widening what the team could deliver, and shifting people from being told to learn to choosing to.
Work that once took the team three or four days now takes under an hour — a dramatic cut in time spent preparing reports and managing workshops.
The learning team could deliver higher-quality learning to a far larger audience, enabling leadership programs, role-specific pathways, qualifications and engagement initiatives.
By consolidating every program into ClearXP and retiring ancillary platforms, Coles recouped its investment within a month and saved on running multiple systems.
Learning activity grew from 860,000 completions on the old LMS to more than 4.4 million on ClearXP, with mobile uptake up over 30%.
Learners completed more than 400,000 non-mandatory activities showing a clear shift toward proactive, self-driven development.
